Export PDF Text to Word on Windows

What arrives in Word, and what stays behind

Export to Word recovers the words, the paragraph breaks, the type size, bold, italic, the font, centring and indents, bulleted lists and the pictures. A two-column page is read down one column and then the other rather than a line from each in turn. What it does not rebuild is the page itself: tables arrive as lines of text and nothing keeps its exact position, so the result reads like the document and does not look like it.

So it is the right tool for one job and the wrong tool for another. Pulling last year’s report text into a draft you were going to rewrite anyway — right tool. Reproducing a two-column brochure with a logo in the corner — wrong tool, and you will spend longer repairing the output than retyping the thing. Work out which of those you are doing before you convert, not after.

Check there is text before you convert

Drag the cursor across a word on the page. If nothing highlights, there is no text there — the page is a photograph of words, and the exporter has nothing to recover from it. Local OCR can add a text layer to a printed scan while leaving the image exactly as it was.

OCR is recognition, not reconstruction. A recognised layer can read a figure as 1,08,600 when the page says 1,08,000 and look perfectly calm about it. If you are going to reuse that text, check the names, the amounts and anything spelt unusually against the scan itself.

Write it somewhere new, then read it

Choose Export to Word from the conversion tools and pick the output destination yourself. Then open the document and read it before you edit it or send it anywhere.

Columns, captions and anything laid out visually are where the reading order goes wrong: a sidebar can land in the middle of a paragraph it was never part of. Expect to move some blocks around and rebuild the formatting in your writing application. Keep the PDF open beside it while you do. A conversion is a first draft you check, not a result you inherit.

For one wrong word, do not go to Word

If all you need is to correct a date or a misspelt name while the page carries on looking the way it looks, stay in the PDF. Line editing and on-page paragraph editing do that without starting a second document. Going out to Word and back costs you the design and buys you nothing.

For a folder of files, the Batch tool has a prepared Word text-export job. It saves the clicking, not the checking: read the failures and open a sample of the successes. Running the export a hundred times does not change what the export keeps.
