How to Fill PDF Forms on Windows

First, check there are fields at all

A page can look exactly like a form and hold nothing you can type into. On a scanned application the ruled blank lines are ink, not boxes. Click where an answer belongs; if nothing takes a cursor, there are no fields there, and no form tool invents them. Creasepoint fills the PDF’s own fields and does not treat every empty rectangle as one.

XFA forms are out. If a document needs XFA, open it in whatever the publisher recommends rather than losing an afternoon to it here. The limitations page gathers this with everything else worth knowing first, so you can check the fit in one sitting.

Fill from a list, or fill in context

Edit mode offers Fill form and Fill on page. Fill on page puts each control over the field where it actually sits, which matters when the instruction explaining an answer is printed two lines above it. A bare list of field names, with no page in view, is how a date of birth ends up in the box beside the right one.

Work down the fields and check every value against the label next to it. This is not the same act as changing what the document says. To reword a sentence the form itself prints, use the text-editing tools instead.

Nothing reaches the disk until you say so

Your answers live in the edit session. The file on disk has not moved, which is exactly why Undo, Redo and Discard still mean something. Read the whole form once more before you commit to it.

Then choose. Save writes over the document you opened. Save a copy keeps the blank one for the next application, which is worth doing for anything you will fill again. Name the copy so the two are not one careless double-click apart, then reopen the saved file and look at it. What you remember typing and what the file contains are two different claims.

Flattening and signing are separate decisions

The Batch tool has a prepared form-flattening job. Flattening freezes the answers into the page, so run it because somebody asked for a flat file, not because you happened to finish filling one. Keep an editable original if anything downstream might need a correction, and read a batch’s per-file results rather than trusting that a run which finished is a run that worked.

If the form also needs a certificate signature, that is the digital-signing workflow. Signing a named field, typing an answer into a field and pasting a picture of your signature are three different acts, and only one of them is a signature.
